Zoom now provides auto-captioning as one of its standard features.

Meeting Host setup (one-time only):

Each Time User Hosts a Meeting:

Meeting Participants

After they enter the meeting, they can click on “Live Transcript” and then “show subtitles”. This will only work if the Host has followed the above steps for that meeting.

Guidelines for Recording of Lectures via Zoom

The implementation of these guidelines might be slightly different by course. Feedback is desired, so please notify one of the DAS team if you have suggestions or questions.

Advanced setup to limit to recording of audio only

  1. Log into your and go to settings at the bottom of the left sidebar
  2. Select "Recording" from the options across the top of the page

  3. Scroll down and uncheck all boxes except "Record audio-only files" (I would also leave the "Record the Interpretation," even if not necessary, but that is your choice). NOTE: Revise setting to record video in the future.

Potential announcement about recording of Zoom content:

"Portions of this course will be recorded. The intent is to record lecture content only; small group and non-lecture sharing is not to be recorded. Apologies for any disruption if the system makes announcements about recording, pauses, or end of recording."

Recording of lecture content

  1. To assist with starting and ending recording, the professor can give cues when lecture content is beginning or ending. For instance, one might say, "I'm going to share material about XYZ," or "We're going to move into discussion groups." We ask that the student use discernment about what gets recorded, whether there are cues or not.
  2. Make the student a co-host when they join the meeting by selecting the three dots beside their name and making them a co-host.
    1. The newly assigned co-host clicks the Record button on their bottom toolbar and selects Record to the Cloud.
    2. The professor/host can also start and stop the recording

Verification: Look at the top-left corner of the Zoom window to confirm a red "Recording..." badge with a cloud symbol is displayed to all meeting attendees.

NOTE: If other students inquire about why one student is a co-host, consider communicating “The student is helping me with recording of lecture content. The recording is to support accessibility.”
  3. During a Zoom recording, a participant can Stop or Pause the recording. If a participant stops the recording and starts it again, a new video file will be created for the next recording segment. If a participant pauses the recording and starts it again, Zoom will record to the same video file for the recording segment.
    1. We suggest using Pause so class meeting recordings are in one file.
    2. After a recording has been started, click Pause at the bottom of the Zoom window.
The recording can also be stopped or paused in the top right-left corner by clicking the recording indicator
    3. When a recording is paused, an indicator will be displayed in the meeting.
    4. Click Resume Recording to resume the recording
In the top left corner, clicking the indicator will also resume the recording.
  4. After the recording is stopped, the host and co-host will receive an email with a link to the audio recording.
